We are thrilled to partner with your clinic to bring convenient, radiation-free bone mineral density scans to your patients. To ensure a seamless experience for your staff, your patients, and BoneHealth BC’s team, we have compiled this preparation guide.
Our goal is to integrate smoothly into your clinic’s daily workflow, minimizing disruption while maximizing patient access to essential diagnostics. This page outlines what to expect regarding scheduling, space requirements, promotions, and our cancellation policy.

Before our team arrives, we need to ensure your designated area meets a few simple criteria. Our mobile unit is self-contained, but we rely on your support for the physical setup.
WHAT WE NEED
Location: A private, quiet room or partitioned area within the clinic (approx. 100–150 sq. ft.).
Power: Access to a standard grounded electrical outlet near the scan area.
Access: Unobstructed access for our staff to set up equipment 30 minutes prior to the first appointment.
Signage: A small table or stand to display patient check-in information.
WIFI: We require a strong, reliable WIFI connection to process clients' digital payments. If your clinic’s WIFI connection tends to be spotty, please let us know in advance so that we can make other preparations.
Clinic bed or table: An electric up-down clinic bed is ideal, or a massage table. If you do not have one, we will provide one. Please let us know in advance if we need to bring ours.
WHAT WE PROVIDE
All scanning equipment and calibration tools.
Hand sanitizer and cleaning supplies for the scan area.
Staff to manage setup, scanning, and teardown.

We work collaboratively with your office manager to integrate scan times without interfering with your primary patient flow.
Time Allocation: We typically schedule 25 minutes per patient, including setup, scanning, and basic cleanup.
Check-In: Patients can check in at your standard front desk or at a dedicated table we set up in the scan room.
Privacy: We strictly adhere to health privacy and data security guidelines (PIPEDA and PIPA). Patient data is processed securely in our booking platform, Jane.
Staff Interaction: Your staff are not required to operate the scanner. Our certified ultrasound technologist handles all aspects of the scan. However, having a staff member available for patient direction is appreciated.

We believe in empowering your clinic to promote bone health effectively. We provide a growing kit of marketing materials to help you inform your patients about the upcoming scan day. BoneHealth BC also promotes the scan clinic on our social media channels, posting clinic location and date announcements on Instagram and Facebook, as well as reminders when clinic slots remain available in the lead-up to the scan day.

Reception Signage/Flyers: BoneHealth BC has a selection of branded flyers in Word for your waiting room, washrooms, or exam rooms. These Word templates can be customized by anyone with basic word processing knowledge. Host clinics can make minor adjustments to tailor images, add clinic-specific details, or modify the tone of the information.

We understand that healthcare schedules change. Our cancellation policy is designed to be fair to both the clinic and the patients.
PATIENT CANCELLATIONS
24-Hour Notice: We ask that patients be encouraged to notify the clinic at least 24 hours in advance if they are unable to attend.
Late Cancellations: If a patient misses an appointment without notice, we will mark it as a "No-Show." This helps us adjust our schedule for the remaining patients.
Rescheduling: Patients can reschedule through our website or Jane App.
CLINIC-REQUESTED CANCELLATIONS
If the clinic needs to cancel the entire scan day due to unforeseen circumstances (e.g., a power outage or an emergency closure), please notify Buddy Osborne immediately.

Rescheduling: We will work to find the next available date within 30 days to minimize disruption to patient care.

Safety is non-negotiable. Our staff and mobile unit are committed to full compliance with safety standards.
Infection Control: We follow strict sanitation protocols, disinfecting the scanner and surrounding area between every patient.
Emergency Protocols: In the unlikely event of a medical emergency during a scan, our sonographer and technical staff are trained in CPR and First Aid, and will coordinate immediately with your clinic’s emergency response team.

BoneHealth BC promotes upcoming clinics on our social media channels, and we encourage our host clinics to do the same, as well as use email newsletters and on-site flyers/posters.

Include a blurb in your newsletter to introduce BoneHealth BC and explain the benefits of our use of Echolight REMS Ultrasound technology. Feel free to link to this section of our website, or to the YouTube videos that explain the technology and REMS scan report.
🖨️ On-Site Flyers/Posters
Download our complementary reception signs. These Word template files can be customized, or you can simply add your clinic’s name and the date and time of our upcoming scan clinic. Place these near the water machine, washrooms, reception or elevators—anywhere you think people will pause and read about the upcoming scan day.
